Awards & Communications Coordinator

The National Book Foundation (NBF), presenter of the National Book Awards, is seeking a full-time Awards & Communications Coordinator to join our small and dynamic team. The Awards & Communications Coordinator reports to the Senior Manager of Awards & Honors, and also works in close collaboration with the Senior Manager of Marketing & Communications, to support NBF’s year-round marketing and communications activities, with a particular focus on the annual National Book Awards—from submissions, through announcements, to the Ceremony & Benefit Dinner. This role will provide essential support for asset management, social media strategy execution, design project coordination, constituent communications, guest list management, and additional administrative responsibilities to help ensure an optimal workflow across NBF’s various public-facing communications, activities, and strategic goals.

The ideal start date for this position is early July 2024. This is a full-time position based in New York City and operates on a flexible hybrid in-office / remote schedule. Some evening and weekend work is required.

RESPONSIBILITIES

National Book Awards

  • Work closely with the Senior Manager of Awards & Honors to provide communications support around National Book Awards submissions, including responding to eligibility inquiries and supporting the annual eligibility checking process
  • Support travel logistics, vendor communications, and publisher coordination for the National Book Awards Ceremony, including fielding questions, facilitating and tracking travel arrangements, and generally ensuring a well-organized, concierge-style experience
  • Support the production of an annual promotional video by coordinating with interviewees, reviewing transcripts, and compiling select photos from past NBF events

Assets & Design Management

  • Collect accurate biographical information, headshots, release forms, and other related assets for all honored authors and program participants
  • Work with the Senior Manager of Marketing & Communications to craft all media announcements and related public-facing materials—including fact checking, copyediting, coordinating necessary approvals, and supporting web updates—often balancing multiple timelines and deadlines
  • Work closely with outsourced design teams to provide accurate copy and image assets for design needs; coordinate and compile staff feedback for design team
  • Work closely with the Senior Manager of Marketing & Communications to execute email marketing and social media strategies, including research, drafting compelling content, and tracking engagement

Administrative Support

  • Provide general event production support for the 5 Under 35 celebration, the National Book Awards Ceremony, and similar events
  • Support invitation and guest list management for Awards events, including regular updates and contact maintenance
  • Other duties as assigned

Qualifications:

  • Extremely organized, communicative, detail-oriented, and deadline-conscious, with an ability to balance multiple and overlapping project timelines
  • Excellent oral and written communications skills; copyediting experience is a plus
  • Understanding of social media platforms (X, Instagram, LinkedIn, and Facebook), Microsoft Office Suite, Mac OS, Zoom, and Slack are required
  • Familiarity with any of the following is a strong plus: WordPress, Mailchimp (or similar), Salesforce/Salesforce Account Engagement, and Adobe Creative Suite
  • 2-3 years of related experience is preferred
  • A passion for books and reading is a must

Compensation:
This is a full-time position based in New York City (with a flexible in-office/remote hybrid schedule) and benefits package, including paid time off, health care, and other benefits. Salary is $54,000-58,000 depending on experience.
