Project Manager

Job Description: This position reports directly to the Chief Operating Officer. This position requires excellent planning and leadership skills across departments as well as exceptional communication, organization, problem solving and prioritization skills with a team-player mentality.  General duties include, but aren’t limited to:

  • Provide project management support to the CEO, COO, VP, and Merchandise Team on various initiatives and projects 

  • Responsible for leading a project through its lifecycle, from inception, to planning, development, and execution phases including defining the scope of work and any resources needed, and ensure project is finalized to the contentment of all stakeholders within the designated budget and timeline

  • Responsible for creating and managing project timeline, ensuring all identified milestones are completed in a timely manner

  • Accountable for managing and tracking project budget, and communicating budget challenges in a timely manner to avoid unexpected additional costs

  • Proactively create, update ,and improve required project documentation and reports, to facilitate team alignment and project visibility

  • Ability to think one step ahead, spot project risks, think of potential solutions, and mitigate and/or escalate risks as needed to ensure project stays on track and on time

  • Responsible for communicating project progress to the  leadership team, key stakeholders including clients, and across the company

  • Function as a communication facilitator, ensuring cross-functional alignment and resolving communication challenges that might occur during the life of a project

  • Schedule, plan, and lead recurring project meetings with different team members and stakeholders from all functions and seniority levels across the organization. This may include clients and vendor/publishing partners; document meeting notes, decisions, and next steps and distribute them to team

  • Evaluate project's success and identifies areas for improvement for future projects

  • Identify ways to improve project techniques, documentation, tools and/or reports ensure the team is evolving according to business needs

Qualifications:

  • 8+ years experience in an operations or project management role with a Publishing/Media/Marketing background such as Managing Editorial, Marketing Operations, Publishing Operations, or Sales Operations

  • Proven ability to coordinate multiple tasks and manage multiple complex projects at the same time; Impeccable time management, organization, and prioritization skills

  • Demonstrated ability to partner with teams across different departments and business areas

  • Proactive in following up on details, anticipating issues and needs, resourceful when researching and troubleshooting, and closing loops on all requests

  • Self-starter, able to consistently deliver without requiring significant oversight and direction

  • Excellent organizational skills with a high level of attention to detail

  • Comfortable with uncertainty and change, with the drive to establish order and structure, and put new frameworks in place

  • Critical thinker with the ability to listen, analyze and evaluate an issue or situation prior to making decisions

  • Open and active listener, with the ability to respectfully challenge teams to improve project outcome or solve challenges

  • Proven ability to manage confidential information and successfully elevating critical situations that require timely decision making

  • Strong and eloquent presentation skills and business presence  with the ability to represent the company in any business setting

  • Must have excellent excellent email and phone manner and a strong client service focus in a time sensitive environment

  • Team-player mentality, highly collaborative, and committed to building a strong and healthy team culture

  • Proficiency in Microsoft Suite, G-Suite, and Adobe, experience with Basecamp or other Project Management software a plus
